Your privacy matters to us. This policy explains clearly what data we collect, why we collect it, and how we protect it — in plain English, not legal boilerplate.

Who we are

Playlist Doctor is a DJ library cleaning service operated as a sole trader business registered in England and Wales. Our contact details are: hello@playlistdoctor.co.uk

What data we collect

We only collect data that is necessary to provide our service:

Contact form submissions — your name, email address, DJ software, track count, selected plan, and any notes you provide. This is submitted voluntarily when you make an enquiry.
Payment data — processed entirely by Stripe. We never see, store, or handle your card details. Stripe's privacy policy applies to payment data.
Music files and library data — uploaded voluntarily to a private Google Drive folder we share with you. These files are used solely to provide the cleaning service and are deleted after your order is complete.
Cookies — we use minimal cookies. See our Cookie Policy for full details.
Affiliate referrals — if you arrive via an affiliate link, we store a referral code to attribute any resulting sale. No personal data is shared with affiliates.

How we use your data

To respond to your enquiry and deliver the service you've requested
To process your payment via Stripe
To communicate with you about your order
To improve our service based on aggregate, anonymised usage patterns

We do not use your data for marketing without your explicit consent. We do not sell, share, or distribute your data to any third party, except as described below.

Your music files — confidentiality commitment

We understand that your music library may contain unreleased tracks, exclusive edits, white labels, and material belonging to artists who have not authorised wider distribution. We treat all uploaded files as strictly confidential. We will never share, distribute, copy, or use any uploaded files for any purpose other than providing your library cleaning service. All files are deleted from our systems upon completion of your order. This commitment applies to all clients, including those working with major label artists and unreleased material.

Who we share data with

We only share data with the following trusted third parties, strictly as needed to operate:

Stripe — payment processing. Stripe Privacy Policy
Google — Google Drive is used for secure file transfer. Google Privacy Policy
Netlify — our website host, which receives form submissions. Netlify Privacy Policy

We do not use any advertising networks, analytics platforms, or data brokers.

Your rights under UK GDPR

Under UK GDPR and the Data Protection Act 2018, you have the following rights:

Right of access — request a copy of the data we hold about you
Right to rectification — ask us to correct inaccurate data
Right to erasure — ask us to delete your data
Right to restrict processing — ask us to limit how we use your data
Right to data portability — receive your data in a portable format
Right to object — object to processing based on legitimate interests

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Data retention

Contact form data — retained for 12 months from last contact, then deleted
Music files — deleted within 30 days of order completion, or immediately upon request
Payment records — retained for 7 years as required by HMRC tax law

Data security

All data transfers use SSL/TLS encryption. Google Drive sharing is restricted to named individuals only. We do not store your music files on any local devices permanently.

Changes to this policy

We may update this policy from time to time. The date at the top of this page will always reflect the most recent version. Continued use of our service after changes constitutes acceptance.
